HOUSE COLOR: ORGANIZATION STRUCTURE
Every member of YTSA will belong to one of the 4-team
colors. Thus, even the organizers will have a team color. We have 2
organizational levels to consider here:
1. YTSA or Buddy Group Level and
2. Team Level
Team assignments will be
reassigned every 3 years to allow people to mix around and get to know others by
working together with them, if need be.

The YTSA Organization
The YTSA organization level will oversee the establishment
of the House Color System and the events to be hosted. The administrative
members of this organization or YTSA committee members must first exist.
Initially, this can come from the current committee members with titles of
president, vice president, secretary, and treasurer plus the 4 YTSA house color
organizers.
The YTSA office holders will automatically hold the buddy
group title; meaning, YTSA president is also the buddy group president, for
example. In the future we can select YTSA committee members by popular vote
based on those who are willing to organize events for that period. For the 3
(?) years of their office the administrators or committee members will not
belong to any team color.
The following are the responsibilities of the 8 YTSA
committee members:
- SGSS Interface. To serve as an ad-hoc
subcommittee of the SGSS responsible for hosting events within the community
and to get directions/funding from SGSS.
- Plan Events. Decide the events to be hosted for
each year, starting with the Annual Sports Day. The point allocation should
also be decided for all the events in the year, so that the points for each
event are known before hand.
- Initial Member Colors. Initially divide up all
YTSA members into 4 teams and select their respective Men’s and Women’s
Captains and Vice Captains. How each team then organizes to manage their
affairs can be their own, internal matter. However, it is recommended that
they have someone to oversee each of the key areas: 1) Sports activities 2)
Gurbani activities and 3) Talent activities.
- New Member Colors. Set up a subcommittee
consisting of one representative from each of the 4 teams to oversee the
assignment of new team members. The rules for assigning new YTSA members to
teams must also be charted to allow weaker teams in a particular area to have
the first pick of new members that are good in that area.
- Each Event Organizer. Set up a subcommittee
consisting of representatives from each team to organize each event, with the
cooperation of the respective team captains and vice captains. During that
period the organizers must not participate and take a vow to act fairly and
color-blindly. It is recommended that, for example, for the Gurbani events the
teams send representatives who do not have any interest in participating so as
not to lose their competitive edge.
- Each Event Rules. Before each event, clearly
chart out the rules and regulations for gaining points. Also, the
participating team age-group divisions (child, youth, men, women, etc.) must
clearly be defined at this point. The total points would already have been
decided in the beginning of the year (before the kick-off sports day), but now
the sum of points from each activity in this event must equal the allocated
points for the event.
- Prize Distribution Night. Organize the annual
YTSA prize distribution night where the points will be concluded, some medals
awarded, and Guru Gobind Singh Trophy awarded to winning house.
- Other YTSA Obligations. Organize other YTSA
events not related to the Buddy Group, such as charity, marathon, and etc.
House Color Team Level Organization
The 4 teams of Red, Green, Blue, Yellow will each consist
of:
- Men’s Captain
- Women’s Captain
- Event captains/leaders appointed by each team captain
For the first 2 years the YTSA committee will select the
captains. The team captains will thereafter:
- Be chosen by popular vote by the team members
- Have a 2 year term
- Cannot hold more than 2 consecutive periods of the same
title (vice captain can become captain)
- Must have good coordination and people skills
- Must be responsible and active in most activities
- Must be a good leader while being competitive, fair, and
tolerant.
- Must be able to devote adequate time
- Should organize their team to have leaders in each type
of event: sports, Gurbani competition, and Talent show. They should establish
their champions in each area.
- Must select their team members to be part of the Event
organizing subcommittee, or they must attend the organizing meetings
themselves.
